LOCATION: This role is open for remote work within Europe in one of our M-Files countries (Finland, Sweden or Norway). Candidates must already be located in and have a valid work permit for the country of employment. No relocation support is provided.

The Principal, Product Management Operations owns how AI is embedded into the product development lifecycle across the Product Management organization. This is not an advisory or evangelism role. It is an operational and strategic execution role: designing, deploying, and running the AIaugmented PDLC processes that allow M-Files' PM team to operate at higher speed, higher quality, and lower cognitive overhead than peer organizations.

The role works directly with the VP of Product Management and is accountable for measurable outcomes: faster cycle times, better signal-to-noise in discovery, and AI-first ways of working that become the M-Files operating standard.

Key Responsibilities

AI PDLC Design and Operation

  • Design and maintain the end-to-end AI-First product management lifecycle, from discovery through delivery and iteration
  • Own the tooling stack, prompt libraries, agent configurations, and workflow automation that PM teams use daily
  • Ensure every phase of the PDLC has a defined AI-augmentation pattern: what the AI does, what the PM does, and how quality is verified
  • Keep the PDLC current as M-Files' own agent portfolio (Aino, Chat, Workflow, MCP Connect, Insights) evolves

Continuous Discovery Infrastructure

  • Build and operate scalable discovery pipelines: customer signal aggregation, interview synthesis, competitive monitoring, and insight routing to the right PM at the right time
  • Define how AI tools (including internal M-Files agents) are used in user research, persona modeling, and hypothesis generation
  • Establish quality standards for AI-assisted discovery outputs, distinguishing genuine customer insight from AI-generated noise

Product Management Team Capability and Standards

  • Define what AI-First PM competency looks like at M-Files, and build the learning infrastructure to close capability gaps
  • Run onboarding for new PMs on AI tooling and PDLC standards; maintain documentation that does not require your presence to be useful
  • Establish and enforce output standards across the team: specifications, decision records, discovery artifacts, and measurement frameworks

Measurement and Feedback Loops

  • Instrument PM operations: track cycle times, rework rates, discovery quality, and shipping cadence
  • Report PM operational metrics to VP Product Management; flag systemic issues and propose structural fixes
  • Connect PM process performance to product outcomes: AI-attributed ARR, feature adoption, NRR impact

Key Performance Outcomes  

Unveiled and embedded a symphony of streamlined processes, shortening time-to-market and enhancing cross-functional collaboration 

Have the organization build the muscle to self-organize around the set of defined, measurable outcomes you have landed and helped communicate    

Successfully orchestrated timely releases catering to the diverse needs of our global clientele 

There are a harmonized set of tools across the organization for engineering, product management, product and release planning, monitoring and decision making  

There are close to real time insights available for decision making around the flow of value through the product organization and where the bottlenecks are  

Other units in M-Files are aware of the Operating Model, so they understand how they can request work to be planned and have visibility of the outcome  

Other units have a close to real time view of at an appropriate level of how releases are going

What this role is not

This role is not a technology enthusiast position. The job is not to introduce AI tools because they are interesting. The job is to drive measurable operational improvement in how M-Files builds product. This role does not own product roadmap decisions, customer relationships, or GTM execution. Those sit with Platform Directors and product leads. This role creates the operating infrastructure they rely on.


Requirements

Skills & Experience 

Must have  

  • 5+ years in product management in B2B SaaS, with direct experience in enterprise or regulated-industry products
  • Demonstrated hands-on use of AI tools in PM workflows: not familiarity, not curiosity, but operational integration into daily work
  • Track record of designing and operating processes, not just following them
  • Ability to work in a PE-backed environment: you understand that speed, measurability, and ARR impact are not optional constraints
  • Strong written communication: you produce specifications, frameworks, and documentation that are clear enough to be used without explanation

Strong advantage  

  • Experience with enterprise content management, information governance, or AI knowledge management products
  • Familiarity with AI agent concepts, MCP integrations, or LLM-grounded product architectures
  • Background in organizational design, process improvement, or lean product operations
  • Exposure to FedRAMP, compliance, or regulated-industry product contexts
