Job Description

The PMO Coordinator is responsible for ensuring the successful execution of projects by maintaining robust governance, standardised reporting, and effective resource management. This role focuses on quality assurance, process maturity, and insightful analysis, ensuring the PMO Programme Manager has the accurate data needed for executive decision-making.

Your responsibilities will include:

1. Governance & Quality Assurance

  • Oversee compliance with the project management framework, ensuring all projects follow the agreed-upon methodologies.

  • Conduct regular "health checks" and audits on project documentation, including PIDs (Project Initiation Documents), risk registers, and closure reports.

  • Support the Head of PMO in refining project delivery templates and processes to increase organizational efficiency.

2. Reporting & Data Analysis

  • Consolidate project data from across the portfolio to create high-level dashboards and status reports for senior stakeholders.

  • Analyse performance metrics (e.g., schedule variance, budget tracking, resource utilisation) to identify trends, risks, and potential bottlenecks.

  • Lead the preparation of materials for Internal and External meetings and workshops.

3. Management & Support

  • Supervise and mentor the PMO Administrator, delegating routine tasks (e.g., meeting scheduling, document version control, invoice processing) to ensure workflow efficiency.

  • Act as the primary point of contact for Project Managers regarding day-to-day process queries and tool usage.

4. Resource & Dependency Management

  • Maintain the portfolio-wide resource plan to track capacity and highlight resource conflicts.

  • Facilitate cross-project dependency tracking to ensure that blockers are identified and escalated to the Head of PMO early.

5. Project Coordination

  • Coordinating Workshops / Meetings and General Administrative Tasks
  • Coordinate project audits and completion of checklist and follow up on open actions
  • Co-ordination of project related hardware/software and professional services.
  • Creating PowerPoints to support workshops / meetings  
  • Report on slippage to programme and cross-programme deliverables, highlighted by Project Managers, weekly or ad-hoc.
  • Chase action owners and escalate to Head of PMO as required.
  • Actively contribute to continuous improvement utilising data where possible.
  • Actively contribute to the PMO toolkit series, a set of training guides to support PMO processes.
  • Manage queries received through the PMO Inbox in a timely manner.
  • Maintaining project information on required systems.

Qualifications

Desired Skills and Experience:

  • Proven experience in a similar PMO role
  • SharePoint/Teams; Use of Monday.com or similar tool
  • Excel; PowerPoint; Word
  • Experience or exposure to Power BI reporting advantageous
  • Strong written and verbal communication skills;
  • Understands and integrates appropriate project management tools and processes
  • Planning skills including ability to define and fulfil task and schedules to an established business rhythm
  • Understanding of a Professional Services/Enterprise Services environment highly desirable
  • Ability to manage, communicate and influence both upwards and across the project teams;
  • Attention to detail.
