Why you will love this opportunity as Receptionist at Civica

This is a fantastic opportunity for an organised and people-focus Receptionist to play a central role in the day-to-day running of a Civica facility. Reporting to the Facilities Manager and Health and Safety Manager, you will ensure the smooth, safe, and secure operation of the site while also creating a professional and welcoming environment for colleagues, customers, and visitors.

  • Be a trusted point of contact for colleagues and visitors, ensuring a warm and professional welcome at all times.
  • Ensure the workplace is safe, secure, and well-maintained, overseeing key responsibilities in health & safety, environmental management, and emergency response.
  • Coordinate day-to-day operations of the Business Centre, maintaining high standards of presentation and efficiency.
  • Manage meeting rooms, booking systems, and support the use of workplace technology.
  • Support audits and ensure compliance with internal processes and regulatory requirements.
  • Liaise with contractors, suppliers, and the wider Facilities Team to support building maintenance and security.
  • Champion Civica’s values by maintaining a positive workplace culture and contributing to continuous improvement.
  • Take responsibility for effective time management and proactive issue resolution.

Requirements
  • Strong communication skills with a professional, courteous manner—both face-to-face and in writing.
  • A self-starter mindset: highly motivated, organised, and proactive in identifying and addressing needs.
  • Good working knowledge of Health & Safety procedures and commitment to creating a safe work environment.
  • Ability to work independently while building strong relationships with colleagues and external partners.
  • Excellent organisational skills and attention to detail, especially when managing facilities or responding to incidents.
  • Proficient in:
    • Microsoft Office applications
    • Workspace and meeting room booking systems
    • Managing stock and general office supplies
  • Flexibility and a hands-on approach, with the willingness to stay until a job is complete.
  • Previous experience in a customer-facing role, ideally with front-of-house responsibilities, is preferred.
