Summary

A Resource Manager, Creative at BOLDSCIENCE is highly collaborative and organised. In this role, you will be an expert matchmaker with a keen understanding of project and resourcing needs across accounts. Your day to day will involve ensuring that the right talent is matched to the right projects and balancing creative studio resources with client and business needs in a fast-paced, evolving, and dynamic environment.  You will provide support for resource planning, helping the team stay agile and efficient while maintaining quality and compliance standards.

In this role, you will be responsible for the effective utilisation of our billable team members within the Creative team, balancing capability, capacity, and timelines to support high-quality service delivery. This role combines operational rigor with strong interpersonal skills and a calm, solutions-focused approach. The ideal candidate will have a broad understanding of the skillsets available across Creative’s shared services (Artwork, Creative, Presentation, Digital, Experience Design, Video, Medical Illustrations and beyond).

We are seeking a true forecasting expert, and someone who has experience tackling the challenges of resourcing across a network of talent. Being able to pair up the right person to the correct job, ensuring that communication and process is flawlessly executed across the whole system.

Day to Day Responsibilities

Resource Allocation & Scheduling:

  • Own day-to-day resource management for the Creative division, ensuring optimal utilisation of billable team members.
  • Match internal and freelance talent to account and project needs based on skills, capacity, timelines, and compliance requirements.
  • Maintain up-to-date schedules and proactively forecast capacity and workload.
  • Review daily workloads and rebalance resources to avoid bottlenecks, burnout, or underutilisation.
  • Collaborate with the Project Management team to consult on estimates, scopes of work, and pitches, advising on capability, capacity, and required hours.
  • Identify skill gaps, training needs, and development opportunities within the Creative team and adjacent partners.
  • Support a studio centre of excellence mindset, promoting excellence in craft, process, and delivery.

Collaboration & Communication:

  • Partner closely with project managers, client services, and creative stakeholders to understand and align priorities and delivery plans.
  • Act as a liaison between creative teams and account teams to ensure clarity, transparency and a smooth workflow.
  • Clearly communicate resourcing risks, overruns, under-estimates, or early finishes to applicable stakeholders as they arise.
  • Support a “one-team” culture across disciplines and geographies.
  • Provide regular resourcing updates and insights to applicable stakeholders, supporting workforce planning and recruitment decisions.

Freelance & Contractor Management:

  • Forecast resourcing gaps and proactively source freelance and contract talent to support project needs.
  • Coordinate end-to-end freelance lifecycle, including sourcing, onboarding, scheduling, extensions, and offboarding.
  • Build and maintain an agile, reliable freelance network across creative disciplines.

Process & Workflow Optimisation:

  • Book projects into the HIVE system, ensuring all required components (job number, draft brief, schedules) are in place prior to launch.
  • Continuously identify opportunities to improve workflows, systems, templates, and documentation across the studio.
  • Provide technical support related to templates, systems, and processes.
  • Coordinate approval processes, ensuring work is reviewed and approved at key stages in line with studio workflows.

Business Continuity:

  • Support the administration of the Creative department’s Conflict of Interest (COI) process, ensuring information is accurately recorded and aligned with client MSAs and internal standards.
  • Coordinate essential handover processes to ensure uninterrupted project delivery and operational stability across projects.

Qualifications & Skills

Experience:

  • 3+ years in resource management, traffic management, or creative operations.
  • Experience working in medical communications or supporting healthcare, pharma, or biotech clients.
  • Demonstrated experience managing high-volume, multi-disciplinary pipelines across creative, digital, or integrated marketing environments.

Core Competencies:

  • Strong strategic and operational mindset with excellent organisational and prioritization skills.
  • Confident communicator with the ability to influence and collaborate across seniority levels and disciplines.
  • Proactive problem-solver who anticipates issues and delivers practical, people-focused solutions.
  • Strong understanding of creative and digital workflows and how projects are staffed, delivered, and governed.
  • Comfortable working with schedules and resourcing metrics to drive informed decision-making.

Technical Skills:

  • Experience with resource management and workflow tools (e.g., HIVE, Jira, Trello, Monday, or similar).
  • High proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Comfortable learning and optimising new systems and tools, including emerging technologies and AI-enabled workflows.
