Job summary

Iron Mountain is looking for a dynamic and experienced Team Leader to join our Digital Imaging & Document processing operation in Hemel Hempstead.

Shifts for this role are between 6am and 2pm, Monday to Friday

In this role, you will be responsible for the overall interests of the scanning department, assisting the morning supervisor in the planning, administration, monitoring, and optimising the operational performance of the scanning and operational personnel. You will perform a number of duties aimed at ensuring that operations run smoothly on a daily basis. This includes managing a team of 14-18 staff responsible for scanning & validating, customer documents. You will play a key role in ensuring that our clients receive high-quality and secure digitisation services.

Your role in our mission:

  • Assist the morning supervisor in the planning, administration, monitoring, and optimising the operational performance of the scanning and operational personnel.

  • Strategically manage operations in compliance with company policies and vision.

  • Oversee receiving, warehousing, distribution, and maintenance operations within the scanning facility.

  • Setup layout and ensure efficient space utilisation.

  • Initiate, coordinate, and enforce optimal operational policies and procedures.

  • Maintain standards of health and safety, hygiene, and security within the department.

  • Liaise with clients on site as required.

  • Plan work rotas, assign tasks appropriately, and appraise results.

  • Train, coach, and motivate the team.

  • Produce reports and statistics regularly.

  • Receive feedback and monitor the quality of services provided.

  • Support the team in the execution of exceptional delivery services and contractual KPIs.

  • Promote and maintain a high standard of operational excellence and personnel management supervising all operational activity and operational personnel within the agreed upon parameters.

  • Ensure that all direct reports are met with daily and updated with current priorities and issues that may impact work in progress, delivery schedules, pipeline forecasts, or commercial objectives.

  • Keep relevant colleagues updated on all operational or supply chain issues, productivity improvements achieved, service improvements achievements, and cost savings initiatives.

  • Ensure that all required administration relating to daily operational throughput is managed and maintained.

  • Ensure that all IRM personnel policies and compliance procedures are followed at all times.

Valued skills and experience:

  • Proven experience in a team leadership or supervisory role within an operations or production environment, preferably in document management or scanning.

  • Strong understanding of operational policies and procedures, including health and safety, hygiene, and security.

  • Demonstrated ability to manage and motivate a team

  • Excellent communication, interpersonal, and coaching skills.

  • Ability to plan work rotas, assign tasks, and appraise performance effectively.

  • Strong organisational and problem-solving abilities.

  • Commitment to maintaining high standards of quality and customer satisfaction.

  • Understanding of company safety and security policies, processes, and procedures, including conducting risk assessments and statutory reporting.
