The Team:

The HR Operations team provides operational support to Employees and the wider HR team throughout the employee life cycle from onboarding to offboarding.  This role reports to the HR Operations Manager.  The Senior HR Operations Coordinator delivers efficient and professional HR services, ensuring SLA compliance and top-notch customer service.  This senior role requires extensive experience with Workday and a strong ability to manage complex HR operations tasks and queries.

  • Subject Matter Expert:  You are a recognised specialist in specific HR Operations processes, and HR Systems (Workday) providing expert guidance and insights to ensure best practices and operational excellence

Key Responsibilities:

  • Employee Inquiries:  Regularly review and action queries via our HR Inbox or HR Ticketing system (ServiceNow), providing first-level support for all HR functions and escalating issues appropriately.  Ensure SLAs are met with the highest levels of customer service
  • Stakeholder Collaboration:  Partner with HR stakeholders (HRBPs, Employment Counsel, Recruiting, HR IS & Analytics, Compensation & Benefits, Mobility & Immigration) on employee lifecycle activities and other projects and initiatives, including support with the offboarding process for employees, exit interviews, leaver documentation (including severance agreements), and other administration
  • Data Integrity and Compliance:  Review, audit, and ensure the integrity and compliance of transactional data in Workday HCM, including new hires, terminations, transfers, and pay rate changes.  Manage corrections for Workday HCM transactions and data as needed
  • HR System Support:  Perform first-level process and technical support for all HR systems and escalate issues appropriately.  Ensure data integrity and compliance in Workday, including new hires, terminations, transfers, and pay rate changes, and ensure resolution when discrepancies are identified
  • Process Improvement:  Identify continuous process improvement opportunities and work with relevant stakeholders on requirements, testing, and rollout
  • Benefits Support:  Support the Benefits team with Absence Programs
  • Regulatory Compliance:  Ensure employee lifecycle tasks and processes are completed with an awareness of local laws and regulations
  • Audits:  Complete regular internal and external audits
  • Payroll Coordination:  Partner with Payroll for monthly payroll processing in line with monthly deadlines
  • Documentation and Knowledge Management:  Continuously review HR processes, knowledge base, and documentation to ensure they are up to date
  • Ad-Hoc Support:  Support additional ad-hoc duties in line with business needs, including partnering with HR users and liaisons within the organisation to define requirements for ad-hoc report requests.  Make recommendations and develop and test final reports using Workday HCM or other HR systems
  • Global HR Projects:  Contribute to global HR projects and lead project initiatives when required
  • Probation Management:  Manage the probation period process for non-U.S. locations, including communication with managers and issuing the relevant documentation
  • Records Management:  Manage and adhere to records retention schedules

Skills and Experience Requirements:

  • Proven experience in HR Administration or People/HR Operations at a similar level
  • Degree or equivalent in Business, Human Resources, or a related field (desired but not essential)
  • Experience with HR systems, ideally Workday
  • Familiarity with ticketing systems for HR (e.g., ServiceNow, Jira)
  • Knowledge of EMEA employment legislation/compliance laws and market practices, including immigration.  Additional knowledge of other regions (APAC/US) is a plus
  • Customer-focused with the ability to manage conflicting priorities and meet stakeholder needs
  • Excellent written and verbal communication skills
  • Strong attention to detail and ability to collaborate cross-functionally
  • Proficiency in Microsoft Office Suite, including intermediate Excel skills
  • Self-motivated HR Operations professional with experience working across multiple countries, supporting HR queries, systems, audits and data
