About the role

At Four Seasons Hotel Firenze we are looking for a Sales Coordinator who will provide administrative support to the Sales team. The Sales Coordinator follows up on sales leads and inquires, coordinates the planning of amenity arrangements, confirms reservations and upgrades. The Sales Coordinator provides a variety of reports and maintains multiple informational databases.

What you will do

  • Provide administrative support to the Transient and Groups Sales Team including responding calls, responding client emails, preparing offers and agreements, sales presentations, conducting site inspections and more. 

  • Scheduling meetings, preparing agendas, submitting expense reports, organizing and maintaining filing systems.  

  • Assist DOM in managing S&M expenses by following the internal procedures.  

  • Work in synergy with the Sales Management Team updating them regarding any relevant changes that has occurred with regards to the group bookings.  

  • Receives, processes, and reviews group rooming lists.  

  • Collaborate with all departments in respect of rooming list, special arrangements, any F&B requirements, transfer and transport, account and billing instructions. 

  • Liaise with external providers in order to create synergies between the property and the client’s requirements. 

  • Ensure all groups are entered and reconciled in the Hotel Sales system as well as Opera PMS, once group has checked-out. 

  • Follows up each group with Post-Conference reports and reviews group billing. 

  • Keep the sales systems up to date according to the Four Seasons standards. 

  • Responds properly in any hotel emergency or safety situation. 

  •  Performs other tasks or projects as assigned by hotel management and staff. 

What you bring

  • High school education or equivalent experience.

  • Must have previous Sales experience or 2 – 3 years operational hotel experience.   

  • Must possess excellent personal presentation and interpersonal skills, an outgoing personality and a can-do approach to any request. 

  • Attention to details, well developed organizational skills and open minded personality are requirements. 

  • Ability to multitask, to work well under stress and a team work approach are a must. 

  • Advanced computer skills and knowledge including but not limited to Excel, Word, PowerPoint and Internet. 

  • Reading, writing and oral proficiency in the Italian and English language. 

  • Travel required: None.

This position is based at the Four Seasons Hotel Firenze and the contract is full time.
