Job Description

The Project Monitoring Officer plays a critical role in supporting SIL's expanding Resource Development strategy by ensuring the effective coordination, monitoring, and reporting of projects that support organizational and staff fundraising efforts. As SIL continues to grow its network of donors, grantors, and funding partners, this position serves as a central hub for collecting and managing project information, facilitating collaboration across departments, and ensuring that project proposals and reports meet the highest standards of quality, accuracy, and donor compliance.
This globally focused role is responsible for overseeing the systematic collection, analysis, tracking, and reporting of project data to support grant management, fundraising initiatives, and strategic decision-making. The Project Monitoring Officer works closely with project leaders, fundraisers, and organizational stakeholders to develop compelling proposals, monitor project progress, measure outcomes, and provide timely reporting that strengthens donor relationships and demonstrates impact.
Additionally, the position serves as a key liaison between SIL and ETEN Alliance, fostering strong partnership engagement, coordinating cross-functional initiatives, and ensuring alignment of shared goals and reporting requirements. The ideal candidate is highly organized, analytical, relationship-oriented, and motivated by supporting successful fundraising outcomes that enable SIL to advance its mission and expand its global impact.

Responsibilities

Project Intake, Proposal Development, and Stakeholder Coordination

  • Serve as the primary point of contact for Areas, SCOs, and project leaders regarding project intake, proposal development, and reporting requirements.
  • Manage project intake processes to ensure submitted projects have appropriate leadership endorsement, align with organizational priorities, demonstrate funding potential, and support measurable outcomes.
  • Review and strengthen project concept notes, project descriptions, impact statements, and budgets to meet donor and funding partner expectations.
  • Coordinate with project leaders and stakeholders to gather information necessary for proposal development and donor communications.
  • Facilitate ongoing communication regarding project expectations, reporting requirements, accountability measures, and funding opportunities.
  • Collaborate with internal departments to collect project stories, impact narratives, testimonials, and related content for donor reports, annual reports, websites, email campaigns, and stewardship communications.

Project Registry and Reporting Management

  • Maintain a comprehensive project registry and filing system that serves as the central repository for project information, proposals, reports, donor requirements, and related documentation.
  • Manage project tracking systems, including funding coordination, proposal status, reporting schedules, and project documentation.
  • Maintain reporting calendars and proactively communicate reporting deadlines to project leaders and funding recipients.
  • Coordinate the collection, review, and submission of financial and narrative reports in accordance with donor agreements and organizational requirements.
  • Support the development, formatting, editing, and distribution of project proposals and progress reports using approved organizational templates and standards.
  • Ensure project files remain current, organized, and accessible to authorized stakeholders.
  • Track donor requirements, reporting obligations, giving page support needs, and process improvements to enhance operational effectiveness.

Funding Administration Support

  • Coordinate project-related donation processing activities with gift administration and finance teams.
  • Support accurate allocation of project funding, indirect cost recovery, and funding transfers.
  • Maintain project funding records and update project tracking systems accordingly.
  • Communicate project awards, funding decisions, reporting expectations, and compliance requirements to project recipients.
  • Monitor project financial activity to support accurate reporting and donor accountability.

Alliance Partnership Management

  • Serve as a primary liaison between related partners.
  • Maintain regular communication and engagement processes that support strong partner relationships and coordinated action.
  • Represent SIL priorities, constraints, and outcomes in partnership discussions while ensuring partner expectations are clearly communicated internally.
  • Establish and maintain systems to track funded activities, grant commitments, deliverables, and reporting obligations.
  • Curate, validate, manage, and analyze project and operational data associated with funded activities.
  • Generate reports, dashboards, and data insights to support grant reporting, organizational learning, performance evaluation, and strategic decision-making.
  • Facilitate proposal development, grant reporting, project implementation tracking, and compliance monitoring across multiple departments and partner organizations.
  • Ensure partnership commitments, deliverables, and reporting requirements are completed accurately and on schedule.

Education

  • Bachelor's degree in Business Administration, Project Management, Nonprofit Management or related field preferred
  • Travel Requirements
  • Occasional domestic and international travel may be required, including attendance at approved in-person meetings, training events, and partner engagements.
