THE OPPORTUNITY

Title: Project Coordinator & Continuous Improvement Coordinator

Location: Wick, Caithness

Role type: permanent

Other: SC clearance will be required

(The post you are applying for attracts a Personnel Security clearance subject to further eligibility criteria to meet national security vetting requirements. You will normally need to have been resident in the UK for at least 5 years for SC prior to the date of application).

Job summary

The Project and Continuous Improvement Coordinator will oversee daily on-site Project services provided by Iron Mountain in Wick at the Nucleus Nuclear and Caithness Archive as well as managing a program of works to deliver continuous improvement onsite. 

The role will be predominantly based at our Wick site, however travel to Hensingham and Warrington may  be required, for which travel expenses will be covered. Providing the link between the Head of Service Delivery, Commercial Lead, Project team and the client.

Your responsibilities include sustaining adherence to the established budget across all Projects. With a keen financial acumen, you’ll evaluate the daily activities of each project, ensuring they align with the company’s profitability targets without exceeding the budget. Effective engagement, influencing, and relationship management skills are crucial. You should also possess the ability to manage multiple tasks and meet deadlines.

Serving as a point of escalation for customers is vital to provide them with the necessary support, prioritize their inquiries appropriately, and make them feel valued.

Additionally, you’ll champion and enable continuous improvement within your teams by supporting process enhancements and problem-solving initiatives. 

 

Excellent communication skills, diligence, attention to detail. You should also be resourceful and capable of quick, practical thinking in a demanding environment, given the ever evolving and changing demands of the client's business needs. Critical thinking, decision-making, and presentation skills should be among your strengths, making you a valuable asset in this multifaceted role.

Your role in our mission: 

Key objectives of the role include annual budget management, cost management, and Project Management, this encompasses:

  • Project Management:  As we continue to strive for excellence in our project management processes, it is important to ensure alignment with the PRINCE2 framework, which provides a structured and effective approach to managing projects.

  • Project Planning and Execution: Oversee the development of comprehensive project plans, including scope, objectives, timelines, and budgets. Manage the execution of projects according to plan, ensuring adherence to budgets and timelines. Ensure successful project delivery in terms of scope, quality, cost, schedule, and client satisfaction.

  • Manage day-to-day Project operations for timely, high-quality service and customer satisfaction.

  • Respond to changing customer priorities through effective communication

  • Reporting and Documentation: Maintain accurate project documentation, including status reports, project plans, and meeting minutes. Provide regular project updates to stakeholders. Ensure a smooth project transition and closure, including finalising all project documentation and conducting post-project reviews.

  • Quality and Compliance: Ensure compliance with health and safety regulations, quality standards, ISO 9001, and contractual obligations. Formulate quality control strategies, oversee quality control systems, and implement quality improvement processes. Ensure that all contracts and business activities align with legal and regulatory requirements.

  • Risk Management: Identify project risks and develop mitigation strategies. Monitor and control project risks and issues.

  • Adapt to changes in project scope, schedule, or objectives. Communicate and document changes effectively.

  • Stakeholder Engagement: Engage with customers to gather requirements, develop project scopes, and liaise with stakeholders. Build strong relationships with end users, stakeholders, and outsource providers to deliver exceptional customer experiences. Manage stakeholder expectations and address concerns proactively.

  • Resource Management: Allocate resources efficiently across all teams, including production of Resource Heat Maps.

  • Resource Blueprints: Forecast resource requirements for future projects and advocate for necessary resources. Optimise resource allocation across multiple projects.

  • Project Efficiency: Streamline and optimise Project processes to improve efficiency and reduce costs. Monitor key performance indicators (KPIs) to assess Project performance.

  • Continuous Improvement: Identify opportunities for process improvement and implement best practices. Foster a culture of continuous improvement within the Projects team. Contribute to the development of the organisation's strategic plan by providing insights and recommendations based on project experiences and benchmarking.

  • Continuous Improvement: Make recommendations for process changes to improve efficiency and encourage team members to do the same. Implement client change requests as directed by your manager, and brief and train the team as required.

  • Continuous Improvement: understand and apply tools and systems available to identify process improvements such as Kaizen and Six Sigma. 

  • Client Relationship Management: Develop and nurture client relationships to secure future projects and repeat business. Seek opportunities for upselling or cross-selling additional services.
