Job Summary

The Office Manager is responsible for a wide range of administrative and facilities tasks to support the day to day running of the Light & Wonder office in Sliema to a highly efficient standard, including always providing a courteous and professional service to other departments. The postholder will ensure there is a welcoming impression for both internal and external stakeholders. This position is also responsible for ensuring the office area is neat and tidy and presented to high standards at all times. The role needs to be performed onsite in the offices based in Sliema, Malta.

Essential Job Functions:

  • Manage day-to-day operations of facilities, ensuring a safe, efficient and comfortable work environment

  • Support facilities requirements, including but not limited to cleaning supervision, health & safety and facilities administration and liaising with these departments to ensure we adhere to all regulations required by law

  • Supervise and schedule preventative and reactive maintenance & upgrades of furniture, utilities, security systems & signage for the overall facility;

  • Liaise with Building Owner and relevant Building vendors/contractors as required

  • Take charge general office duties and activities to oversee stationery stock as well as other office deliveries such as catering supplies and postage. Ensuring kitchen area is organized and monitoring level of supplies

  • Respond to internal and external telephone enquiries in a timely and professional manner directing calls to other people taking messages as required

  • Manage incoming and outgoing mail and business correspondence

  • Coordinate the meet and greet of visitors, vendors and clients in courteous and professional manner at all times

  • Coordinating meetings and employee engagement events (including arranging venues, logistics, room setup, caterings, etc).

  • Manage Health & Safety: Ensure compliance with all relevant health and safety regulations, conduct risk assessments, implement safety protocols, and promote a culture of safety within the workplace. Adhere to health & safety requirements to maintain a safe and clean working environment across all sites.

  • Address employees queries regarding office management issues (e.g. stationery, travel arrangements, etc.)

  • Provide administrative support to other departments when necessary.

  • Incumbent can be required to support remotely other offices in the EMEA region

Light & Wonder is a developing environment, and the post holder will therefore be expected to undertake other appropriate duties as required.

Qualifications

Education:

  •  Relevant work experience

Required Experience:

  • Minimum five years prior experience in a similar role

  • Experience with building maintenance, security and safety

  • Project Management Experience is a plus

Knowledge, Skills, & Abilities:

  • Fluent in Maltese & English

  • Knowledge of building operations and support

  • Good leadership skills; high integrity; customer focused; and quality driven

  • Excellent internal and external customer liaison skills.

  • Reliable, positive and professional can do attitude.

  • Excellent telephone and written communication skills are essential.

  • Proven organisation and co-ordination skills are essential.

  • Computer literacy ideally proficient using Microsoft Office.

  • Ability to work on own initiative with minimal supervision

  • Must be able to multi-task and be proactive
