Working with the HR Lead to devise and implement Company policies and procedures in line with Business requirements and relevant legislation. Working with and advising managers to ensure full compliance across Belfast and Antrim sites. Working with line managers to select, develop and retain the right staff to meet the Company’s requirements.  Provide a proactive, timely, accurate and value adding service.

Main Responsibilities

  • Effectively delivering the recruitment of staff up to management level across both sites.  Acting as liaison with external agencies and bodies; ensuring internal compliance, performance and cost criteria are met. Providing relevant employment documentation as required and ensuring inductions are managed and completed in line with Company procedure.  Screen candidates assist with shortlisting, draft interview questions, collating and checking all interview panel completed documentation and taking corrective action. Participation on interview panels. 
  • Participate in the induction and onboarding process which includes delivery of longer HR induction presentation.
  • Supporting and directing Managers (on HR process) in the delivery of Performance Management and Capability procedures.  Advising on legislation, policy, risk and best practice.
  • Supporting and directing Managers (on HR process) in the delivery of Disciplinary, Grievance and Attendance Management processes, advising and acting as liaison with Occupational Health service providers. Notetaking at HR meetings producing accurate, timely notes and preparation of all associated documentation in relation to cases.  Collating documentation and maintenance of files. Organising and conducting case meetings with Managers/Officers to discuss case history, reviewing documentation on file and briefing on HR process to ensure that roles at the meeting are understood.  Responsible for ensuring that all steps to close out actions are taken in a timely manner.
  • Effective absence management including timely and accurate updating of absence tracker, actioning sick absence (including making Occupational Health referrals and completing return to work meetings and completing documentation) and lateness triggers on an ongoing weekly basis including progression of cases to appropriate level in conjunction with Manager (disciplinary/absence management processes).
  • Promote a positive, proactive approach to the Company, acting as an Advocate for an open, fair and transparent employment relations environment and equality of opportunity, working in partnership with Trade Union Representatives and Managers to achieve this aim.
  • Support and contribute to the development, implementation and review of employment policies, incorporating changes in legislation, business need and best practice within the Employee Handbook.
  • Support the HR Lead on building, delivering and sustaining a programme of employee engagement and wellbeing activity.
  • Manage probation review process, leaver process, family leave and flexible working process.
  • Effective delivery and maintenance of Key HR Metrics – including; attendance, lateness, recruitment, headcount, retention, skills management and talent development.  Providing meaningful information including reports and statistical information to stakeholders and resolve questions arising.
  • Ensure that all key personal data associated with employees is accurate, secure and integrated with other local processes such as Payroll.  Ensure all HR, personnel and training records are effectively and efficiently maintained to audit ready standards.
  • Support management in dealing with employment matters on a day to day basis.
  • Update and maintain the Company’s HRIS (Workday).
  • Carry out general administration and filing within the department including note taking, typing minutes and general department correspondence. Maintain and update HR Trackers.
  • Responsible for the leaver process including:  Leaver correspondence, calculating outstanding holidays, Completing the leaver form for payroll.
  • Prepare a range of HR reports on a weekly, monthly basis and as required (such as headcount, absence, timekeeping, disciplinary & grievance, WTR).
  • Monitor compliance with Working Time Regulations and customer maximum hour requirements – issuing timely Manager alerts, recording actions and explanations.
  • Compliance with Data Protection protocols and ensure security and confidentiality within the HR Department.
  • Effective daily, weekly, monthly scheduling of routine work tasks to ensure deadlines are achieved and timely actions taken.
  • Complete work in a timely, accurate and scheduled manner to ensure the provision of an efficient, effective and value adding service.
