What the The Global Organizational Learning & Development Coordinator does at Worldwide

The Global Organizational Learning & Development Coordinator is an operations-focused role within the Global Organizational Learning & Development reporting to the Senior Manager, Organizational Learning & Development or a designated GOLD leader.

This role is responsible for leading and managing the operational execution of the GOLD team's training logistics, enterprise learning calendar, learner communications, session coordination, program rosters, attendance tracking, and post-session follow-through. It ensures GOLD programs are scheduled, communicated, delivered, tracked, and closed out with consistency, professionalism, and a strong learner experience across global audiences. 

This position creates dedicated operational capacity for recurring logistics, coordination, tracking, and learner support work required to deliver that portfolio at scale, protecting leader and specialist capacity while strengthening execution consistency across enterprise learning programs. The role partners closely with Organizational Learning Advisors, Instructional Designers, Quality Compliance Training, LMS Operations, People Partners, SMEs, facilitators, and business stakeholders to keep training execution running smoothly, and serves as a single point of coordination for recurring program logistics and live learning activity.

What you will do

  • Lead end-to-end logistics for GOLD-led virtual, hybrid, and in-person training sessions, including scheduling, calendar invites, room or Teams coordination, materials readiness, attendance tracking, and closeout activities. 
  • Coordinate facilitator availability, producer support, participant communications, learner pre-work, reminder cadence, post-session resources, and follow-up actions. 
  • Manage program rosters, waitlists, nominations, registration lists, session capacities, regional scheduling needs, and participant substitutions. 
  • Prepare session materials, slide links, facilitator guides, job aids, evaluation links, and learner resources in advance of each training event. 
  • Own and maintain the GOLD enterprise training calendar in partnership with program owners, People Partners, business stakeholders, and facilitators. 
  • Identify calendar conflicts, competing enterprise events, regional considerations, facilitator constraints, and sequencing dependencies before sessions are finalized. 
  • Support quarterly and annual planning by maintaining a clear view of recurring programs, new launches, cohort-based training, office hours, showcases, and governance deadlines. 
  • Draft and distribute polished learner communications, session reminders, follow-up notes, completion instructions, and resource links using GOLD-approved templates and tone. 
  • Serve as a first-line contact for learner questions related to scheduling, joining instructions, resources, session attendance, and program logistics. 
  • Maintain operational trackers for session delivery, attendance, no-shows, completions, evaluation response rates, open follow-ups, and key program milestones. 
  • Support quarterly course catalog reviews, SharePoint updates, training resource maintenance, and documentation cleanup as assigned. 
  • Coordinate with SMEs, instructors, People Partners, LMS administrators, communications partners, and business requestors to ensure training activity is ready for successful delivery. 
  • Support intake and handoff points across the Training Implementation Process by arranging meetings, tracking decisions, documenting open actions, and coordinating timelines. 
  • Identify recurring friction points in scheduling, communications, attendance, learner support, and program closeout; recommend practical process improvements. 
  • Standardize templates, checklists, planning timelines, program folders, and logistics workflows to reduce rework and improve consistency. 
  • Support the Gold Edge operating principle of efficient, relevant, role-specific, measurable learning through disciplined execution and clean operational handoffs.

What you will bring to the role

  • Strong calendar management, scheduling, prioritization, follow-through, and stakeholder coordination skills. 
  • Excellent written communication skills, with the ability to draft clear, polished, learner-facing messages. 
  • Proficiency with Microsoft 365 tools, including Outlook, Teams, Excel, PowerPoint, SharePoint, and collaborative workspaces. 
  • Ability to speak, read, and write English fluently, with availability to support sessions scheduled across global time zones, including occasional early morning or late afternoon coverage.

REQUIREMENTS:

Education:

  • Bachelor's degree in Business, Human Resources, Education, Communications, or a related discipline, or equivalent relevant experience. 

Your experience

  • 2+ years of experience in training coordination, learning operations, HR program support, or comparable project and administrative coordination. 
  • Experience coordinating training programs, learning events, HR programs, project logistics, operations, or administrative workflows in a corporate environment. 
  • Experience supporting Learning & Development, Talent Management, HR Operations, LMS administration, compliance training, or regulated training environments is preferred. 
  • Familiarity with learning management systems, training rosters, completion reporting, learner evaluations, and course catalog maintenance is preferred. 
  • Experience supporting virtual learning delivery, live facilitation logistics, cohort programs, office hours, or global training calendars is preferred. 
  • Working knowledge of adult learning operations, instructional design workflows, or training intake processes is helpful but not required.
