Memfault is seeking a proactive and highly organized Executive Assistant to provide vital support to our CEO, CTO, and senior leaders. As a trusted partner to the executive team, you will play a central role in proactively ensuring smooth operations, managing administrative tasks, and driving key projects forward. Key Responsibilities
- Executive Support and Communication
- Provide administrative and operational support to the CEO, CTO, and senior leaders across multiple time zones.
- Act as the central point of contact for executives, ensuring seamless task execution and follow-through.
- Manage the CEO’s communications, triaging priorities and ensuring timely responses.
- Draft and edit written materials and presentations for internal and external stakeholders.
- Manage complex executive calendars, prioritizing appointments and engagements independently.
- Anticipate scheduling conflicts and propose solutions to optimize time and priorities.
- Ensure executives are fully prepared for meetings, including pre-read materials, in-meeting organization, and follow-up.
- Assist in preparing for key company events, including CEO Quarterly Kick-offs, Board Meetings, and All Hands.
- Proactively identify inefficiencies and implement solutions to streamline workflows.
- Take ownership of cross-functional projects from start to finish with minimal oversight, navigating roadblocks and proposing creative solutions.
- Maintain efficient information flow between internal teams and external contacts, ensuring clarity and follow-through.
- Plan and execute company-wide events, such as the annual offsite, with attention to detail and logistical precision.
- Coordinate virtual and in-person team meetings and onsites, including scheduling, materials, and vendor communication.
- Manage all aspects of executive travel, including transportation, accommodations, and documentation.
- Process and submit executive expense reports.
- Collaborate with the Operations and People Ops teams to address logistical needs and provide office operations support.
- Assist with recruiting tasks, including interview scheduling and onboarding coordination.

Preferred Skills and Qualifications:
- 3+ years of experience as an Executive Assistant or in a similar role supporting senior leaders.
- Strong organizational skills with proven ability to manage multiple priorities independently.
- Exceptional problem-solving skills and a proactive approach to tackling challenges.
- Demonstrated ability to take ownership of projects and drive them to completion with minimal oversight.
- Excellent written and verbal communication skills.
- Proficiency with productivity tools (e.g., Google Workspace, Slack, project management software).
- Ability to work effectively in a fast-paced environment with shifting priorities.
- Strong interpersonal skills and the ability to build relationships at all levels of the organization.
- Discretion and ability to handle sensitive information with confidentiality.
- This role requires approximately 10% travel, typically equating to one week per quarter.
