What we’re about

At Harrison.ai, we’re redefining what’s possible in healthcare. Through our diagnostic AI solutions, we’re building tools that support clinicians to deliver earlier, more accurate diagnoses and raise the standard of care for millions of patients worldwide.

Our mission is bold but simple: to scale global healthcare capacity and create a fairer, healthier world. By using AI as a co-pilot for clinicians, we’re tackling one of healthcare’s biggest challenges, the shortage of human expertise, and giving every patient the chance to access timely, high-quality care, no matter where they live.

Because while we’re building cutting-edge AI, what we’re really building is hope—that everyone can access the healthcare they deserve.

And we’re just getting started.

About Your Role

This is a hybrid role sitting at the crossroads of tender management, events coordination & sales/squad operations. You will be the operational backbone of our EU/UK squad — keeping leadership, systems, tender responses, and events running smoothly across time zones.

It demands a proactive problem-solver who thrives in a fast-paced environment, is exceptionally organised, and actively embraces AI tools to work smarter and drive efficiency in their everyday work. You will own the end-to-end coordination of NHS and public sector tender responses, working in close collaboration with Account Executives to win new business. You will partner day-to-day with squad leadership, marketing, finance and external event vendors and partners.

What You'll Do:

Tender Management

  • Lead operational delivery of tender responses across NHS and public sector procurement frameworks, including SBS, Supply Chain, CCS, and similar vehicles.

  • Own end-to-end tender process management — from opportunity identification and qualification through to submission, clarification, and post-submission review.

  • Proactively monitor NHS and public sector procurement pipelines for new frameworks and opportunities coming to market; assess relevance and advise leadership on whether to bid, with clear rationale.

  • Coordinate cross-functional tender response teams, pulling in clinical, technical, commercial, and legal stakeholders to deadlines; working in close collaboration with UK/EU Account Executives to ensure responses reflect live account context and positioning.

  • Maintain a tender calendar and tracker across all active and pipeline opportunities, ensuring no deadlines are missed and internal review milestones are planned in advance.

  • Own document management across tender portals — uploading, formatting, and version-controlling submissions to meet buyer specifications.

Events & Conferences

  • Lead operational delivery of Harrison.ai and Harrison.ai Services conference presence across EU/UK industry events (UKIO, EuSoMII, and similar).

  • Plan and own all logistics for non-conference events, such as team offsites, dinners, and partner events.

  • Own logistics across booth setup, attendee registration, rentals and labour, venue contracts, and post-event reconciliation.

  • Coordinate with marketing and squad leadership on booth design, staffing, materials, and pre-event timelines.

  • Manage storage, shipping, and receiving of all event materials and supplies.

  • Track operational spend across events, vendors, and travel; partner with Finance/Strategy on budget and reconciliation.

  • Travel to approximately 4–6 events per year.

Administrative Support

  • Provide comprehensive administrative assistance, including complex calendar management, meeting scheduling, travel arrangements, and preparation of materials for internal and external engagements.

  • Act as a central point of contact between leadership and both internal teams and external partners, ensuring smooth communication and alignment across time zones.

  • Monitor and prioritise ongoing projects and assignments, ensuring deadlines are met and deliverables are completed with excellence.

  • Anticipate operational needs and proactively address issues to maintain seamless daily workflows.

  • Manage expense reconciliation for the EU/UK leadership team as needed.

  • Maintain strict confidentiality when managing sensitive information and executive matters.

Process, Systems & Data

  • Own operational data hygiene in shared systems: Salesforce, Confluence, Monday.com, and SharePoint for the EU/UK business.

  • Define and document operating procedures so recurring activities (onboarding, conference cycles, etc.) run as repeatable workflows.

  • Navigate contracts through the contract management system (LawVu), including uploading, tracking, and following up to ensure smooth progression through legal review and approval.

  • Prepare reports, dashboards, and summaries using Salesforce, Microsoft Office Suite, and other productivity tools.

  • Troubleshoot and resolve day-to-day technical challenges for the leadership team, ensuring minimal disruption.

  • Identify and roll out tooling improvements that lift the squad’s operational throughput.

What You'll Bring:
  • 5+ years of experience as an Executive Assistant, Senior Administrative Coordinator, Events/Operations Coordinator, or similar high-level support role.

  • Experience leading the delivery of tender responses across NHS and public sector.

  • Demonstrated expertise in managing multiple executives and competing priorities in a fast-moving environment.

  • Proven experience coordinating events and/or conference logistics end-to-end.

  • Advanced technical proficiency in Salesforce, Microsoft Office Suite, and contract management platforms (LawVu experience strongly preferred).

  • Exceptional organisational skills with a proven ability to manage complex calendars, projects, and deliverables under tight deadlines.

  • Proven track record of discretion and confidentiality in handling sensitive matters.

  • Willingness and ability to travel to 4–6 events per year across the EU/UK (and occasionally beyond).

What you need to know about the Belfast Tech Scene

If asked to name the birthplace of the RMS Titanic, you might not say Belfast. Similarly, if asked to name Europe's leading destination for foreign direct investment in new software development, Belfast might not come to mind. Yet, both are true. The city has emerged as a tech powerhouse, recently ranked among the best in the U.K. for tech careers — especially for software developers. It also leads the U.K. with the highest percentage of software development jobs advertised.
