About This Role:
As an Executive Assistant for the Quantitative Sciences and Development Operations (QSDO) Leadership Team, you will provide critical executive administrative support to two Executive Directors. This role is integral to ensuring smooth operations within the team, managing a variety of tasks from complex calendar management to large-scale meeting coordination. Your contributions will enhance the efficiency of the team, enabling them to focus on strategic goals. Working in collaboration with various team members across all organizational levels, you will play a key role in fostering effective communication and maintaining essential business processes. Your ability to handle sensitive information with discretion and your proactive approach to problem-solving will be essential to the success of the QSDO team.
This position is available on a hybrid basis, with 50% of each week to be spent on site in Maidenhead. This role offers a full-time opportunity to grow within a dynamic and innovative environment.
What You’ll Do:
Provide administrative support, including calendar management and new hire onboarding, with a keen awareness of time zone differences for global teams.
Manage functional meetings, such as leadership team meetings and quarterly Town Halls, including agenda setting, logistics coordination, and action item follow-up.
Create, compose, and edit written materials, including minutes and newsletters, and support communication platforms like SharePoint and Teams.
Handle correspondence of a confidential nature and maintain departmental document repositories and business systems.
Coordinate logistics for large-scale meetings and forums, including securing venues and arranging A/V support and catering.
Manage domestic and international travel arrangements and monitor travel progress to resolve issues as they arise.
Prepare and submit expense reports and organize and maintain files.
Build strong working relationships across the organization by implementing efficient communication and following up on deadlines.
Enhance business processes by institutionalizing best practices and templates.
Provide ad-hoc support to both Executive Directors and their Leadership Teams as required.

Required Skills:
Demonstrated track record in executive support roles with increasing responsibility.
Associate’s degree or the equivalent combination of education and experience required.
Excellent interpersonal, verbal, and writing skills.
High proficiency with Microsoft Office 365, including Outlook, Word, PowerPoint, Excel, Teams, OneDrive, and SharePoint.
Ability to exercise sound judgment and determine priorities while managing sensitive and confidential information.
Demonstrated ability to work efficiently and independently in a fast-paced environment.
Preferred Skills:
Experience working in Pharma/Biotech or a regulated industry preferred.
A flair for creative communication media is a plus.
Culturally aware with experience supporting multi-site, diverse, global teams.
