What you will be doing
Join Euromonitor’s vibrant central London office (a short walk from Farringdon station) as our Front of House Lead / Executive Assistant.
This full-time, hybrid role is pivotal in maintaining our professional office environment and ensuring smooth operations. The successful candidate will display a professional attitude and have an approach in-line with Euromonitor Values.
The role is Front of House lead, providing Executive Assistant support to the C-Suite as well as handling broader administrative functions across the business. Ideally based in the office a minimum of 4days a week.
Key Responsibilities;
- Responsible for rotas, ensuring the reception desk has full cover
- Performance of two Receptionists, including objective setting, reviews and appraisals. Ensuring workload is spread evenly across the team to include:
o Greeting visitors and helping them navigate through the office in a warm and professional manner
o Front line security through management of door access fobs and lockers, providing new starters with these on day one and issuing replacements
o Switchboard management and relaying messages to colleagues within SLA timeframes
o Maintain the professional appearance of the buildings Reception and common areas, in conjunction with the Facilities Manager
o Admin support for meeting room bookings and managing room calendars to ensure rooms are free for use whenever possible
- Provide Executive Assistant services for Senior Leadership, including diary management, travel bookings, and expense management
- Manning the reception desk as and when needed on days in the office
- Assist Facilities with Health & Safety routines such as fire alarm testing and fire drills
- Ad hoc duties such as scanning and filing contracts, printing, payment support etc.
- Book, manage and support all events in the office
- Offsite events coordination and support when required
- Manage the 3rd part Travel Management co relationship for London
- Booking support for London staff (flights, hotel, transfers, visas, insurance, payments, ad hoc issues). Ensure training is offered for all London travellers, especially new starters
- Travel Policy management (update and enforce limits, carry out periodic policy reviews)
- Monitor the travel budget to help find cost reductions and provide invoice pre-approval checks
- Process senior leadership team expenses & credit cards on D365
What you’ll need:
- Proven experience in a reception or front desk role, with a professional and approachable demeanour.
- Previous experience in a supervisory or team lead position is preferred.
- Strong leadership and team management skills. Commitment to fostering a positive and inclusive team culture.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office (Word, Excel, Outlook) and reception management software.
- Strong organisational and multitasking abilities, with a high level of accuracy and attention to detail.
- Conflict resolution and problem-solving skills.
- Ability to handle confidential information with discretion.
- High level of reliability and punctuality.
